Microsoft Teams Phone + Mobile

Replacing a hardware VoIP forwarding workflow with a single-number system that works on the native mobile dialer.

What they had

The company ran on a traditional hardware VoIP phone system. After hours, the reception call queue was forwarded to one on-duty person's company mobile phone. Whoever carried the on-call phone picked up the forwarded desk call. It was simple and everyone understood it.

What broke

We moved the organization to Microsoft Teams Phone with auto attendant, call queues, and Teams-based calling. The move broke the forwarding habit. In Teams, forwarding a call queue is not a user setting; it requires admin access. Office staff could no longer redirect after-hours calls themselves, and IT was not available around the clock to make the change.

Field staff were also stuck. When the call queue tried to reach them through the Teams mobile app, the calls often failed because they were working in areas without reliable data or internet. So calls went unanswered, or office staff had to fall back to a manual list of personal mobile numbers.

What we chose

We rolled out Microsoft Teams Phone Mobile for every company mobile user — mainly field staff — on top of the company-wide Teams Phone system. At the time, only Rogers offered it in Canada. Today, two carriers support it.

Teams Phone Mobile solved several problems at once:

  • No app dependency. Calls reach the native mobile dialer, not the Teams app.
  • No internet required. Field staff can answer queue calls on the regular cellular network.
  • One work number. The same number rings in Teams on the desktop and on the mobile dialer.
  • Synced status and voicemail. Presence and missed-call messages stay in one place instead of scattered across personal voicemail boxes.
  • Easier management. Routing is handled inside the Teams admin center instead of ad-hoc forwarding.

My role

I led this end to end: scoped the carrier integration, designed the rollout, configured the platform, managed licensing, trained users, and ran the cutover. The project replaced a manual workaround with a managed system.

Outcome

  • After-hours calls reach whoever is active in the call queue, without someone having to manually forward the queue to one on-duty phone.
  • Field staff answer call queue calls from their native mobile dialer, even without data.
  • One work number per user across Teams desktop and mobile.
  • Voicemails and presence stay synchronized in Teams instead of being trapped on individual phones.
  • Office staff no longer maintain a personal mobile number workaround list.
