ADP WFN: Time Off Module
Configuring paid-time-off plans, accrual rules, and eligibility so managers and employees do not have to track balances outside the system.
After setting up HR Core and Time, the next foundational piece is Time Off. If employees cannot see their balances, request leave, or get approved without email chains, the system has not really removed the manual work. This implementation log covers how I configured the Time Off module in ADP Workforce Now.
What was implemented
- Absence plans. Set up vacation, sick, and personal leave plans with the right plan types and tracking methods. Each plan was mapped to the correct accrual profile so balances update automatically based on length of service and scheduled hours.
- Accrual rules. Configured accrual rates, carryover limits, and payout rules. This included defining how much time can roll into the next calendar year and whether unused balances are paid out on termination.
- Eligibility and enrollment. Set eligibility rules so full-time, part-time, and contract groups are enrolled in the correct plans automatically. This prevents managers from having to remember who gets which policy.
- Request and approval workflow. Configured the time-off request path so employees submit in self-service, managers approve in the same workflow, and payroll sees the result without re-entry.
- Integration with Time and Payroll. Linked approved time-off to timecards and pay calculations so paid leave hours flow straight into payroll without a second manual entry.
My role
I translated the company’s time-off policies into ADP’s plan structure and made sure the rules matched real-world use. That meant working with HR to confirm accrual timing, carryover limits, and who qualifies for each plan. I also tested the request-to-payroll flow so employees and managers would not need spreadsheets or side emails to track balances.
Result
Employees can now request time off, see real balances, and get approvals inside ADP. Managers do not have to maintain separate trackers. Payroll receives approved leave hours directly from the timecard. The company has a single source of truth for time-off balances and accruals.
