ADP WFN: HR Core Module
Configuring the foundational HR Core module in ADP Workforce Now so a multi-entity organization could hire, transfer, and report from one clean structure.
Context
The organization was moving its HR and payroll operations into ADP Workforce Now across several related legal entities. Before the implementation, employee records, job data, and organizational structure lived in disconnected systems and spreadsheets. Payroll, time tracking, and reporting all depended on getting the same answers to basic questions: Who is this person? Where do they work? What is their job? What changed, and why?
The HR Core module was the foundation everything else would sit on. Time, time off, and payroll could not be configured cleanly until the organizational structure, job titles, and cost-center mapping were right.
What was implemented
I configured the core structural elements that let the system recognize the organization, its jobs, and its cost structure consistently:
- Corporate structure. I set up business units to represent each legal entity and operating division, then mapped locations to physical and remote worksites across provinces. I configured worker categories for employment types, union and union-local codes where applicable, and benefits-eligibility classes so downstream benefits rules could attach to the right populations from the start.
- Jobs, positions, and cost centers. I standardized job titles across the organization and built a job catalog with job classes and job functions that matched how the company actually groups work. I then created position records tied to the correct business unit, location, worker category, and department cost center so payroll and labor costs would land in the right accounts from day one.
My role
I led the HR Core configuration from analysis through sign-off. I translated the existing organizational structure and job catalog into ADP's configuration requirements, documented decisions in the implementation workbook, coordinated with the ADP implementation specialist, and validated that business units, locations, job codes, and cost-center assignments produced clean reports before the module was signed off.
Result
- One consistent organizational structure across all legal entities in ADP.
- Standardized job titles tied to department cost centers, so labor costs could be allocated correctly.
- Clean handoff to the Time, Time Off, and Payroll modules because the core data was already aligned.
- Reduced manual workarounds and spreadsheet shadow systems for headcount, job, and cost-center tracking.
